Users
The user page is where you grant system access to team members.

Super Admin
This is the user login issued when a new RoomBoss account is created. It has access to all permissions within the RoomBoss account, so please keep the login information securely stored.
Only the Super Admin can perform the following actions:
- View login count, last login, and user creation date
- Add, edit, and assign user permissions
- Manually update user passwords
- Edit the "Account Settings" page
- Edit/view Customer Fields
Managing Users
Creating individual user logins for each staff member has the following benefits:
- Restrict access to advanced and administrative system features to authorized users only
- Identify which user made changes to reservations or payments
- Assign tasks to specific staff members
- When a staff member leaves, simply remove access instead of changing other users' passwords
User role list
By assigning “Roles,” you can grant users access to and control over different areas of the system.
Details for each role are listed below.

Manage Bookings | Create, edit, and cancel reservations |
Manage Stock/Allotments/Stop Sell | Set, edit, and delete allotments for agents; manage stop sales (prevent product from being sold on specific dates); manage inventory |
Manage Booking Channels | Set/change/delete agent access permissions and commissions; manage portal listing status |
Manage Rates | Create, edit, delete, and adjust rates |
Manage Products | Create new products, edit/disable existing ones; edit vendor settings and rich messages (for advanced users) |
Custom ID Mandatory on Purchases as Agent | Require users to enter a custom ID when booking products sold by third parties (optional for ski schools) |
Merge & Eject Guest Admin | Merge guest profiles; users with this role can work on the Guests page (advanced) |
Bulk Invoice Admin | Use bulk invoicing features (advanced) |
Website Configuration Admin | Manage the domain settings for the booking engine |
Currency Exchange Rate Admin | Set currency exchange rates used by the booking engine |
Edit Payments | Edit recorded payments. Requires “Reservation Management” permission to access invoices |
Bring Into Package Admin | Use the feature to move bookings between packages |
Manage Sales Desk | Add/remove Sales Desks. Users with this role can manage them on the Sales Desk page |
Price Component Admin | Manage pricing components for tax configuration. Users can manage them on the Price Component Profile page |
Edit Gross Price Role | Modify gross prices when creating or editing reservations. Requires “Manage Bookings” permission |
Edit Sell Price Role | Modify net prices when creating or editing reservations. Requires “Manage Bookings” permission |
Point Of Sale Only Access | Access limited to POS only; includes net price editing and reservation management |

Notes on Roles
- If you are also using a Property Management System (PMS), only users with rate management permissions can view the New Rate Page (for accommodation rates).
- Only the Super Administrator account can view/edit Guest Fields.
- All users can view areas not listed above, but only users with the appropriate permissions can create, edit, or delete data.
- All users can view the name, email, phone number, and permissions of other users.
- Users can edit their own name, email, phone number, and password.
