Affiliate Sites
OTAs such as Booking.com and Expedia work with affiliate websites.
For example, after you create an account with Booking.com you may also appear on Agoda and other sites even though you don't have an account with these other sites. (See Why is my property visible on other websites?)
Similarly after you create an account with Expedia you might also appear on Hotels.com and other sites.
Please contact the OTAs for details of how their affiliate site program works.
However, in general:
- You don't need to do anything.
- Your property details, availability and rates are automatically pushed from the OTA to their affiliated sites.
- Bookings from affiliated sites are automatically sent to the OTA, who in turn send the booking to RoomBoss.
- You do not need to make an account with affiliate sites. In fact it may be essential that you avoid making an account with affiliated sites in order to maintain the automated flow of availability, rates, and bookings.

Managing Other Airbnb Settings
Other Airbnb settings such as tax and cleaning fees and long stay discounts are managed by clicking the Airbnb Settings icon on the Channel Manager Dashboard.
Other Notes - Booking.com
Obtaining Guest Credit Card Details For Booking.com Bookings
Please obtain guest credit card details by:
- Clicking the link on the bookings Financial tab inside RoomBoss.
- The first time you do this - click signup, signup using your email and choose a password.
- Key in the RoomBoss 6/7 digit booking ID or OTA Booking ID (Booking ID from Booking.com) for the booking, your email and RoomBoss credentials, and click view card details.
- The first time you access this from a new machine - the application will send a device activation email with a 6 digit code which needs to be entered.
- This will be followed by a captcha after which you can see the CC number.
- To see the CVV number click the "view CVV number" button.
IMPORTANT NOTE
System access to the CVV number expires 30 mins after credit card details are viewed. Please write it down for future use if you are not charging the card immediately.
Guest Count for Booking.com
An important limitation regarding multi-room bookings received from Booking.com.
When a Booking.com reservation includes multiple rooms and children, the children are not included in the total guest count shown in RoomBoss. This is due to a limitation in how Booking.com provides booking data when a single reservation contains more than one room. In these cases, Booking.com does not specify which children are assigned to which room.
As a result:
- The total guest count in RoomBoss reflects adults only
- Children information is displayed in the “Message from Customer” section on the Edit a Booking page in hte following format, rather than being included in the total guest number
No. of adults: X / No. of children: Y
To ensure accurate occupancy information, we recommend contacting the guest to confirm which children are staying in which room, and then updating the guest count for each room manually in RoomBoss.
For reservations that contain only one room, children are included in the total guest count as expected, provided that the following setting is configured:
Product Setup → Product Details → Policy tab → “Record Children and Infants”.
Other Notes - Expedia
Obtaining Guest Credit Card Details For Expedia Bookings
Please obtain guest credit card details from inside your Expedia account.
Expedia Collect
Please note the following if you are using "Expedia Collect".
Expedia sends net price as booking cost. You can set the commission value on the Dashboard inside the channel manager to adjust Expedia Collect prices back to the gross price for the booking cost. Please let us know if you would like us to set this.
Other Notes - Ctrip / Trip.com
Ctrip Collect
Please note the following if you are using "Ctrip Collect".
Ctrip sends net price as booking cost. You can set the commission value on the Dashboard inside the channel manager to adjust Ctrip Collect prices back to the gross price for the booking cost. Please let us know if you would like us to set this.
Guest Count for Ctrip
An important note regarding multi-room bookings received from Ctrip. Ctrip does not provide no. of guests at room level. RoomBoss evenly distributes no. of guests between all the rooms and if there is one left it will be added to the last.
For multi-room bookings from Ctrip please check the Notes section on the Edit A Booking page for more information. The total number of guests for the booking is available in the following format.format:
No. of adults : X No. of children : Y
Other Notes - Jalan
Jalan Opening Dates for Sales
We cannot push availability into Jalan until a date range has been opened for sales.
Inside Jalan if you see "-" for availability, this means these dates have not been opened.
To open dates:
- Click "-"
- In the popup choose 販売
- Choose the dates to open and set available rooms to zero (RoomBoss will push the correct availability)
- Once this is done, RoomBoss can push availability for dates and if rate plans exist on Jalan you will be on sale.
Jalan Password Management
Jalan passwords expire every 3 months. When this happens we can no longer log in to update availability and check for bookings until the password is updated. We will send you an email when this happens. When you receive an email about this please:
- Log into Jalan and update your password.
- Set your new password on the Dashboard inside the RoomBoss Channel Manager.
Once this is done the connection will automatically resume.
Changes to Property Setup
IMPORTANT NOTE
Making changes to room types inside the OTA requires coordination with us. We may need to remap room types to match the new setup.
Failure to coordinate changes may lead to errors including overbooking.
