How to process a new REQUEST booking from a direct guests (B2C) or an agent (B2B)

If a guest makes a REQUEST booking through the website or an agent makes an REQUEST booking through their RoomBoss account, you will get notifications in the following ways.

  • You will receive a notification email like the image below

  • By clicking "Booking URL" link, you can check the details on Edit a Booking page on RoomBoss

  • You can also view the list of REQUEST bookings from Booking HQ

    • Click Show / Refresh

    • Bookings will be listed in Recent Booking Requests section

Please check the availability accordingly. If there is, you can confirm the booking following below steps.

Confirm the booking

If you receive a REQUEST booking and there is an availability, you can follow below steps to confirm the booking.

  1. Access the Edit a Booking page

  2. Click Edit in the Booking Status section at the top of the page

  3. Change the booking type from REQUEST to RESERVATION

  4. Click save

  5. The process after this depends on the booking source (direct guest / agents)

For direct guest bookings (B2C)

After confirming the booking, the following steps must be taken to send an email to the guests.

  1. You can address a message to the guests from "Invoice & Intranet Message" section on the Edit a Booking page (if needed)

  2. Click the "Send Email" button at the top of the page to send confirmation email to the guests (refer the image below)

After changing the order type to “RESERVATION”, click the “Send Email” button marked in red

Automated creation of the invoice

If the invoice strategy has been setup, the invoice will be automatically generated at the time the Order Type is changed from REQUEST to RESERVATION (the "Direct: Manual" rule will apply). The guests will be able to make payment from the guest intranet page linked in the email.

How to edit an email template sent with the "Send Email" button?

You can edit the template from "Send email button on the Edit A Booking page on Rich Massage page.

For agent bookings (B2B)

When the REQUEST booking from the agent is confirmed, an auto confirmation email will be sent to the agent and user.

If the invoice strategy has been setup, the invoice for agents will get generated automatically.

  1. Open "Financial" tab on the Edit a Booking page

  2. Choose "Language - Size of the paper" from the Invoices & Receipts section

  3. Click the download icon (PDF / Words)

  4. Send the invoice you downloaded to the agents by replying to the auto confirmation email

How to contact the agent about received REQUEST booking?
