Credit Card Tokenisation

Tokenisation enables users to securely store credit card information in their payment gateway for future charges.

What Does Tokenisation Do?

  • Stores a reference (token) to a guest credit card in RoomBoss when payment made via an enabled payment gateway.

  • Allows user to charge against the stored token at a later date for, for example, final payment for a booking or on check out for outstanding items on guest package.

Supported Payment Gateways

RoomBoss currently supports Tokenisation with these Payment Gateways:

  • Flywire

  • Square

  • Stripe

Enabling Tokenisation

Enable Tokenisation for a payment gateway by checking the Save Customer And Card checkbox via Product Setup >> Online Payment Settings:

Once enabled a token will be stored for a guest when they make payment online.

Note when enabling for Square it is necessary to click the link in the page and grant permission in your Square account.

Charging Against A Stored Token

Charging against a guest's stored token can be done in two places.

On the financial tab of the guest's package:

Via the Existing Booking Point of Sale page (typically accessed directly from the Front Desk HQ):

On either page, clicking Charge to card ending .... will cause RoomBoss to attempt to charge using the stored token, if successful the invoice will be updated as paid, if not successful an error will be displayed to the user.

It is important to note, having a stored credit card token does not guarantee you will receive payment. As with any other credit card payment, attempts to charge can fail or can be disputed by the customer or credit cards can be cancelled or expire.

Notes On Tokenisation

  • A users must have Manage Bookings permission in order to charge against a token.

  • If enabled, the "Payment Received" auto email will be sent to customer when token is successfully charged.

  • If a new booking is made for a guest with a stored token links to charge against the stored token will be present on the new booking too.

  • Tokens will be automatically removed from the system when the credit card expires.

  • Stripe tokens will be automatically removed from the system if the guest is removed from Stripe.

Capture Credit Card Token on Guest Information Page

If you have a Payment Gateway set through Flywire or Stripe and have selected the Save Customer And Card option, you will be able to access the Save Card feature on the Guest Information page. This page is accessible through the Front Desk HQ.

This allows you to enter the Guest's Credit Card information to be saved in Flywire or Stripe.

Note that while multiple cards can be saved, only the most recently added card will be active. Also note that for Flywire, having Guest's full address information is necessary.

Potential Future Changes

  • Auto charge of scheduled future payments to stored tokens.
