The processes and conditions for reservation locking

Conditions for Locking

An accommodation reservation (and any items such as guest services added to the accommodation reservation) can be locked once:

  • The checkout date has been reached.

  • The reservation is paid in full, and payment(s) have been locked and transferred to Trust.

Locking

An accommodation reservation and its package can be locked individually or in bulk by team members who have the Trust R3 - General Accounting role.

Individually

Before you can lock a package please ensure:

  • Full payment has been received.

  • Room has been allocated to the booking.

  • Payment has been posted to Trust.

There are 2 methods to lock reservations individually.

Method 1

A Trust Period must exist to use this method.

  1. Navigate to Trust → Finalise Packages.

  2. Select the Trust Period from the drop down menu.

  3. Click on the Show button.

  4. Use the checkbox in the Select column to select the reservation you wish to lock.

  5. Click Finalise Selected Packages.

Method 2

  1. Click on the Financial tab of the Edit A Booking page.

  2. Click on Edit under Trust Accounting Status.

  3. Click on the Finalise Package button.

  4. Click Done.

In Bulk

  1. Navigate to Trust → Finalise Packages.

  2. Select the trust period from the drop down menu.

  3. Click on the Show button.

  4. Use the checkbox in the Select column to select the reservations you wish to lock, or click on All.

  5. Click Finalise Selected Packages.

If the Select checkbox is greyed out under Trust - Finalise Packages, this can mean that the booking has not yet checked out, the payment has not been transferred to Trust, or a room has not been allocated.

It is not possible to bulk lock when there is no Trust Period (a calendar month), however this can be done individually.
