A step by step guide to perform day to day procedures

Check Home Page and/or Booking HQ

Each time you log into RoomBoss, you will be taken to the home page. This page shows you all booking changes for the last 24 hours. To see changes in the last 7 days, Navigate to BookingsBooking HQ.

Please follow up on all items on this page as necessary.

Check for Due and Upcoming Tasks

  1. Navigate to CRMTasks.

  2. Ensure the Due by date is set to today and the Status is Not Completed then click Show / Refresh.

  3. Enact tasks for the Reservations team.

Check for Bookings Not Yet Fully Invoiced

  1. Navigate to Bookings Search Bookings.

  2. Click on the Search by Payment Status tab.

  3. Select The invoiced amount does not equal the sale amount radial button and click Search.

  4. If you find a non-accommodation booking that isn't part of an accommodation package yet:

    1. Locate and open the related accommodation booking.

    2. Click Add To Package then Existing Booking. Enter the non-accommodation booking ID and follow the steps.

  5. Click the Financial tab and add or edit invoice(s) to ensure the booking is fully invoiced with correct due date(s).

On the Edit A Booking page, Booking History and Financial History can help to identify your team members involved in the booking if background information is required.

Check for Bookings with Overdue Invoices

  1. Navigate to Bookings Search Bookings.

  2. Click on the Search by Payment Status tab.

  3. Select Payment Has Not Been Received. Limit search to payments due by radial button and enter yesterday's date. Click Search.

  4. If you find a non-accommodation booking that isn't part of an accommodation package yet:

    1. Locate and open the related accommodation booking.

    2. Click Add To Package then Existing Booking. Enter the non-accommodation booking ID and follow the steps.

  5. Enact the hotel's overdue plan.

Auto Room Allocation

Bookings for room types with only one associated room will be allocated when they are made.

Bookings for room types with multiple rooms should be allocated using Auto Room Allocation.

It is also possible to manually allocate bookings to rooms on the Edit A Booking screen, by clicking Edit in the Stay Details section. Please be aware if there are too many manual allocations, it is possible Auto Room Allocation will fail to allocate bookings.

If no bookings are manually allocated then it will always be possible to allocate bookings using auto allocation.

To run auto allocation, navigate to Room Allocation Auto Room Allocation.

  1. Select the Property from the drop down menu.

  2. Optionally you can choose the Room Types to auto allocate by clicking on the tick boxes. You can also choose the Start date for the allocation (bookings checking in from this date onwards will be allocated) .

  3. Click the Run Auto Allocation button.
