How to setup automated email templates and entering Terms of Stay

If you would like to use the Online Self Check-in system, please let us know and we will enable the feature in your RoomBoss account.

Setting up Email Template

The guest will be sent a unique booking link to their Online Self Check-in form in their pre-arrival email.

Steps on how to set up the pre-arrival email templates with the Check-in Form URL.

  1. Navigate to Product Setup →

  2. Select the recipients to receive the email:

    • Account Wide - emails sent to all guests that fulfil the trigger events

    • Vendor Specific - emails sent on a per vendor basis to guests that fulfil trigger events

      • Select the Vendor drop down menu

  3. Select Send email x days before start date of master booking in package and choose a language from the drop down menu

  4. Enter the email Subject - when the email is sent, RoomBoss will add the Booking ID to the subject line

  5. Enter the email text and click on the Luna Check-in Form URL button to insert the Online Self Check-in , this will take the customer to their own unique check-in link.

  6. Click Save

How to Enable Automated Emails

If you are unsure if you have the correct automated email enabled, or if you need to enable it.

  1. In the Automated Emails section, locate Send email x days before start date of master booking in package

  2. If it is not enabled, click on the Edit Details button at the bottom of the screen

  3. Enter your RoomBoss credentials and click OK

  4. Click the checkbox next to Send email x days before start date of master booking in package

  5. Set the number of days to send an email to the customer prior to the start date

  6. Click the Save button at the bottom of the page

Setting Terms of Stay

The Terms of Stay page displays conditions that apply to guests staying at the property. The guest must agree to these conditions by clicking on a checkbox and signing in a signature box.

To enter your property's terms of stay:

  1. Select your Language option from the drop down menu - English or Japanese

  2. Enter your Terms of Stay

Navigate to Account →

Navigate to the Terms of Stay page -

Once completed, click the Save icon
