Managing Rate Plans

Setup And Manage Rate Plans

Rate plans are used to define criteria such as; default min and max length of stay, min and max nights to check in, promo codes (required to access the rate), inclusion of meals and rate names, descriptions and terms and conditions text.

Rate plans can be derived from an existing rate plan and apply an adjustment in price or can be stand alone with the rates for the plan managed separately.

Rate plans are then linked to the room types that will offer this rate and the nightly rates and restrictions are set at this level.

Creating A Rate Plan

Navigate to Product Setup Rate Plans

Click on the + button on the bottom right hand corner to create a new rate plan.

Text Fields

Each rate plan has 3 text fields, these can be set in English, Japanese and/or traditional and simplified Chinese.

This text will be shown to guests and travel agents when making bookings.

  1. The rate plan name. Eg, Standard Rate, Early Bird Rate, Breakfast Inclusive Rate

  2. A brief description of the rate. Eg. Rate includes buffet breakfast at our in house restaurant.

  3. A more detailed description, typically including an overview of the terms and conditions and cancellation policy. Eg. 20% deposit due on booking with balance due 60 days before arrival. All payments are non refundable.

Rate Plan Configuration

The rate plan configuration section is used to define criteria of the rate.

Does the rate include meals?

A rate plan can include some or all of Breakfast, Lunch and Dinner.

Does the rate have a default max / min length of stay?

A discount rate might have a minimum and or maximum night setting that must be met to access the discount.

Does the rate have a default max / min days in advance that it can be booked?

An Early Bird rate might have a min days in advance of 60 days. A Last Minute rate might have a max days in advance of 7 days.

Note the min/max length of stay and days in advance settings on the rate plans are defaults and can be overridden when setting the rate. This means you could have for example a “Winter Rate” with default min stay 3 (on the rate plan) but this could be set to 5 for Christmas and New Year when setting the rate.

Will a Promotional Code be required to access the rate plan?

Optionally, one or more promo codes can be set on a rate. If a promo code is present this will need to be entered by the guest or agent to access and book at this rate.

Manage Rate Plan

Will your rate plan manage rates independently or derive rates from another plan?

If you choose to derive from an existing plan you will need to choose the plan to derive rates from and set if this plan will be cheaper or more expensive than the plan it derives from.

Will your derived rate plan have its own Minimum Length of Stay or also derive this from from the parent plans?

If you wish to use same Minimum Length of Stay on your derived plan choose Yes here.

Note Gap Management rules can not be set on rate plans that use a derived Minimum Length of Stay.

Associate Room Types

Which Room Types will be available to book on this plan?

Choose the room types the plan will apply to and in the case of a derived plan set the amount of the adjustment for each type. Adjustments can be absolute eg. 2,000 Yen night or a percentage eg 10%.
