How to process direct booking requests

New Request

Prior to booking, a potential guest may ask questions about your property, a notification email will be sent to you following enquiries from your website. You may respond to the guest directly by replying to the new notification email.

The format of the email subject will be as below: [RoomBoss] [My Hotel] 660876 New Booking REQUEST (My Hotel)

A booking request will be generated in RoomBoss from this enquiry.

How to confirm a booking/change a Request to a Reservation:

  1. On the Edit A Booking page, under Booking Status. click Edit and change the Type from REQUEST to RESERVATION, click Save.

  2. Invoices will automatically be created on the booking (according to your Invoice Strategy).

  3. This change will not generate a notification email.

To send booking details, invoices, and payment link to your guest, copy the Customer Intranet URL from the Edit A Booking page, or set up Automated Emails to quickly send details via the Send Email button on the Edit A Booking page.

How to cancel a Request:

  1. On the Edit A Booking page, under Booking Status – Click Edit and change the State from Active to Cancelled then click Save.

  2. Once the change has been saved, you will receive a notification email.

The format of the email subject will be as below: [RoomBoss] [My Hotel] 660876 Booking Cancelled REQUEST (My Hotel)
