User Access Management allows you to control system wide access, and provides in-depth control of access to functionality that impacts financial security.
We recommend that each team member has an individual user login as this provides:
Management of each team member's permissions - when a team member leaves employment their user login can be made inactive.
Control of the level of access to the system on a user-by-user basis. See User Role Management.
Tracking of changes, the ability to see which user made changes to bookings and financials. More information is presented in the Activity Tracking section.
Assignment of tasks, the ability to create tasks for specific individuals to complete.
To manage users in RoomBoss, navigate to Account → Users.
Setting roles grants users permission to access / change different areas of the system.
Each team member should be granted the minimal set of user Roles that are required for them to fulfil their duties.
The pre-defined key roles for financial control are as follows:
Role
Description
Manage Rates
User can create new and edit or delete existing rates or price adjustments.
Price Components Admin
User can setup and edit Price Components (used to calculate values such as sales tax and local government tax).
Manage Bookings
User can create new bookings, and edit or cancel existing bookings up to the time the booking is locked.
Edit Sell Price Role
User can edit the Sell Price of a booking up to the time the booking is locked.
Edit Gross Price Role
User can edit the Gross Price (standard retail pricing) of a booking up to the time the booking is locked.
Edit Payments
Once payments have been recorded, they can only be edited by users with this permission up to the time the payment is locked (users must also have Manage Bookings permission to access the invoices).
